How do I log in to the Client Admin Portal?

1. Go to: https://easypay5.com/clientadminportalR101/
2. Enter your username and password
3. After entering your username and password, you will receive a text with a 6 digit code (it will contain capital letters and numbers only).
4. Enter the 6 digit code into the box and click submit

How do I add a user?

Only Client Administrators can add users.

1. Click on Manage Accounts, Users
2. Click Add User
3. Enter first name, last name, and an email address (this can be a general email address for the office, it does not have to be user specific)
4. Select the desired roles for the user, select merchants (offices) allowed, and the default merchant (office)
5. Click Add VT User
6. This will display their newly created user name and password

How do I unlock my user?

Only Client Administrators can unlock users.

1. Click on Manage Accounts, Users
2. Find the user in your list and click EDIT — USER (all the way to the right, you may need to scroll right in the browser)
3. Uncheck the “Locked” checkbox
4. Click Update User
5. Have the user go to https://easypay5.com/reset/ to clear their browser and allow them access to the login screen

How do I create a consent?

To create a consent, go to the Consents menu and select the type of Consent you want. For Annual and One Time Consents, follow these steps:

1. Manually enter or swipe the credit card information into the left side box labeled “Card Holder Information”
2. Review the “Consent Information” box and make changes if needed
3. Click “Create Annual”

For Fixed Recurring Consents, follow these steps:

1. Manually enter or swipe the credit card information into the left side box labeled “Card Holder Information”
2. Enter the “Total Amount” in the “Recurring Consent Setup” box. Then enter the desired payment amount and select a Period from the drop down box
3. Click “Create Consent”

How do I use an Annual Consent?

1. Go to Consents > Consent List
2. Find the consent you want to charge by using the Query Filter
3. Highlight the appropriate Consent
4. Click the Charge button in the Consent Operations box
5. Enter an amount in the Process This Amount field
6. Click Process Consent

How do I use a One Time Consent?

A One Time Consent is used the same way as an Annual Consent. The only difference between the two is an Annual Consent can be used repeatedly while a One Time Consent can only be used once.

How do I void a transaction?

Voids can be performed the same day of the transaction before settlement. To void a transaction, follow these steps:

1. Go to Transaction > Search
2. Locate the transaction you want to void
3. Highlight the transaction line in the list
4. Click the Void button in the upper right hand corner (located in the “Transaction Operations” box)
5. A new window will appear to confirm the void
6. Click void in the new window
7. You will receive confirmation of the successful void and the system will give you the opportunity to print a void receipt

How do I issue a refund (credit)?

Credits (or refunds) can be performed after settlement. To credit a transaction, follow these steps:

1. Go to Transaction > Search
2. Locate the transaction you want to Credit
3. Highlight the transaction line in the list
4. Click the Credit button in the upper right hand corner (located in the “Transaction Operations” box)
5. A new window will appear to process the credit
6. Enter the amount to be credited
7. Click Authorize
8. You will receive confirmation of the successful credit and the system will give you the opportunity to print a credit receipt

How do I change my password?

1. Click the Change Password link on the login screen
2. Enter your username and current password
3. Create a new password based on the criteria displayed and click submit

As a security precaution, passwords expire after 4 months. You can see your password expiration date when you log into the Virtual Terminal. You may choose to change your password as often as you wish, however you MUST change your password every 4 months at a minimum. Entering an expired password 6 times in succession will cause a lockout.

What is PCI compliance?

PCI compliance is managed through our 3rd party vendor, Control Scan. If you receive emails from them requiring action, please follow through with it as it is a valid request from our partner.

The Payment Card Industry Data Security Standard (PCI DSS) is a proprietary information security standard for organizations that handle branded credit cards from the major card schemes including Visa, MasterCard, American Express, Discover, and JCB. The PCI Standard is mandated by the card brands and administered by the Payment Card Industry Security Standards Council. The standard was created to increase controls around cardholder data to reduce credit card fraud via its exposure. Validation of compliance is performed annually by Self-Assessment Questionnaire (SAQ).

What is the difference between Manual Settling and Autosettling?

Both methods result in your transactions being combined into a batch for credit. When you manually settle, your batch report is generated and you can print it directly after settling the batch. Autosettle will create a batch at a designated time and then email a copy of the batch report to your office automatically. We can easily change the methods at the request of an account owner or administrator.
